FreeScout: open-source helpdesk / ticketing system
What is FreeScout?
FreeScout is an open-source helpdesk and ticketing system and shared inbox platform that lets you manage customer conversations from one central place. You can handle emails, customer questions, internal notes, and workflows—similar to Intercom, Help Scout, or Zendesk—but fully self-hosted and without subscription fees.
You can also use FreeScout as a support or ticketing system.
What can you use FreeScout for?
FreeScout helps you automatically distribute and assign incoming email, work clearly on tickets together with your team, and add internal notes without sending them to customers. You can use tags, workflows, and statuses to streamline processes, respond faster and more consistently with saved replies, and gain insight into wait times and team performance.

How do you install FreeScout?
You can host FreeScout yourself on your own server for maximum control over data, modules, and performance, or choose a managed provider that takes care of installation and maintenance. Implementation usually comes down to choosing a (sub)domain, setting up a server, installing and configuring FreeScout, connecting your mailboxes, activating modules, and setting up roles, teams, and workflows.
FreeScout modules
Modules in FreeScout are extensions that add extra functionality on top of the base installation. The core of FreeScout is intentionally kept light and minimalistic; all extras—such as live chat, WhatsApp integration, workflow automation, time tracking, or customer satisfaction measurements—are added via modules. This way, you stay in control of which features you do or don’t need, without making the system unnecessarily heavy.
Most modules are developed and maintained by the FreeScout team or external developers. Because this requires ongoing work (updates, security, new features, support), many modules require a one-time or annual license fee. In return, you get professional, stable extensions that remain compatible with future FreeScout updates. Thanks to this modular system, you can tailor FreeScout exactly to your team’s needs.
Useful modules that Kleidi uses:
- Custom Mailbox Signatures: Install a personal signature for each user.
- Customization & Rebranding: Customize the dashboard to match your brand—add your logo, brand colors, etc.
- Extended Attachments: Organize attachments easily if you work a lot with screenshots, PDFs, or documents.
- Extra Security: Additional security via reCAPTCHA.
- Two-Factor Authentication: Extra security layer with 2FA.
- Ticket Number: Add ticket numbers to incoming support requests by email.
- Tags: Categorize conversations and keep your inbox organized.
- Sticky Notes: Pin important notes to the top of a conversation.
- Spam Filter: Protect against automated spam messages and tickets.
- Saved Replies: Stored responses (also called “canned responses”) to answer FAQs quickly and save time.
- Mentions: @mention users in notes to notify them without assigning the entire conversation.
- Inbox/Sent Folder: Create an extra folder that shows all conversations by date and add a “Sent” folder to your mailboxes.
- MailChimp / CRM Sync: Sync customer data between FreeScout and your CRM or MailChimp lists for up-to-date profiles and better context.
- Satisfaction Ratings: Add a simple rating option to emails so customers can indicate satisfaction at the end of a conversation.
- Workflow Automations: Automate repetitive actions such as tagging, assigning, or closing tickets based on rules.
- Time Tracking: Track time per ticket for timesheets, reports, or insight into effort per question type.
- Chat Module: Add a live chat widget to your website; chat conversations appear directly in FreeScout.
- Custom Fields: Add custom fields to tickets, such as order numbers, customer types, or internal status fields.
Of course, which modules are suitable varies by organization, team, or company. There are also many other modules available.

FreeScout review
View FreeScout“Although setting it up requires some technical knowledge, the result is great. For little to no cost (only the modules and your own hosting), you can set up a complete ticketing system and add multiple users. In my view, a huge process optimization!”

FreeScout is an attractive alternative to tools like Help Scout and Zendesk, especially when cost and control are important. While Help Scout and Zendesk operate on subscriptions of approximately €20 to €59 per user per month, FreeScout is free to use when self-hosted, with costs only for optional modules. With FreeScout, you manage your own hosting, whereas the other tools are offered fully as SaaS.
A major difference lies in data control and customizability. With FreeScout, you have full control over your data and can extensively customize the system with affordable modules. With Help Scout and Zendesk, that control is more limited and extensions are often more expensive. On the other hand, these SaaS solutions generally offer a more polished, enterprise-style interface, and maintenance and updates are fully handled by the provider. FreeScout is simpler and lighter, but requires you to be responsible for maintenance and updates yourself.
